Volunteer Information           Golf Tournament

The Eagle Classic Golf Tournament is Home and School’s largest fund raising activity, typically held during the day on a Friday in late Spring.

Keeping Children Safe required – No, preferred

  • Chair - Time Commitment:  Over 40 hours, late Fall to early Spring
    • Schedule regular meetings to get committee reports
    • Coordinate format of tournament, scoring
    • Coordinate contest holes, hole in one contest
    • Run awards ceremony following tournament and announce winners
    • Knowledge of Greater Giving software
  • Advertising/Sponsorship Solicitation - 3-5 individuals
    • Contact local businesses to see if they will help sponsor the tournament, holes, etc. or donate items for the raffle or door prizes for the golfers
    • Update Greater Giving software
  • Golfer Gift Committee – 1-2 individuals
    • Research options within budget for golfer gifts, goodie bag items and get appropriate logos
    • Work closely with the chair and co-chair to arrange any payment as needed
  • Site Logistics Coordinator
    • Select the best site and date to have golf tournament
    • Coordinate logistics of golf course
    • Placement of registration and dinner table(s)
  • Registration Solicitation
    • Recruits golfers to play in the tournament
    • Creates the registration form using Greater Giving software.  You will get approvals from Principal and Development Director to ensure SJS standards are followed
    • E-mail or mail out tournament information to past and potential players.  You will be given a list of those who have golfed in the past tournaments
    • Distribute to local businesses to display the information
    • Work closely with the H & S treasurer since you will be receiving the registration money. 
  • Finance Chair
    • Create a budget spreadsheet to help entire committee reach fundraising goal
    • Responsible for payment for all tournament related costs….trophies, hole sponsor signs, banners, printing, postage, etc
  • Prize Solicitation
  • Publicity Coordinator
    • Send information to North Texas Catholic, area church bulletins, club websites and  area newspapers
    • Approval on all items to be coordinated with chair, Principal and Development Director to ensure SJS standards are maintained
    • Take pictures or arrange for someone to take pictures during the tournament as well as winners during awards ceremony
    • Share pictures will be shared with SJS office
  • Volunteer Coordinator
    • Recruit volunteers
    • Coordinate volunteers day of event
  • Dinner Item Volunteers Needed to provide various items for meal
  • One site volunteers -24-40 needed for:
    • Set-up – 2 hours
    • Check-in – 2 hours
    • Hole Spotters – 4 hours
    • Dinner Set-up – 2 hours
  • Clean-up – 2-3 hours
